Hiring an event videographer for a conference or gala

To hire an event videographer, define the finished videos first, then specify which moments, rooms and speakers need coverage. Share the run of show, venue information, audio contact and delivery deadline before requesting a quote. A conference recap, complete session recording and same-day highlight film require different production plans.

Decide what the event video needs to do

A highlight film can help prospective attendees picture the experience, give sponsors useful material or extend a brand moment beyond the room. Full session recordings serve a different purpose: making the content available after the event. A same-day film adds a deadline inside the event itself, with editing happening alongside filming.

For each deliverable, write the audience, destination and publication date. “A recap for next year’s registration page” is a much more usable request than “capture everything”. It tells the crew to look for the experience a future attendee would care about, as well as the people who matter to the organiser.

Match camera coverage to the running order

The important question is what happens at the same time. A roaming operator cannot record a complete keynote and capture networking in another room at the same moment. Two cameras can give a stage and audience complementary coverage in one room; simultaneous sessions, interviews or other deliverables may need a different arrangement.

Send the floor plan and schedule together. Mark the moments that cannot be repeated, the sponsor obligations and any interviews that require a quiet location. Our gala coverage note explains the stage-and-room approach without treating it as a universal crew prescription.

Put sound and venue access in the brief

Ask the venue or AV supplier how the production team can receive a clean feed of speech audio, when it can be tested and what backup is possible. A feed that carries music or presentation sound but misses a handheld microphone may not contain the speech you need. Monitoring matters as much as the connection.

At a Toronto or GTA venue, confirm load-in time, equipment access, camera positions and the contact who can resolve a room change. If the event has public guests, sensitive sessions or people who should not be filmed, tell the crew how your organisation is handling permissions and identification. Those decisions should be clear before doors open.

Send one production packet

  • The current run of show, with a named person who sends updates.
  • Room layouts, stage positions, lighting cues and the AV contact.
  • Speaker names, titles and any on-screen spelling requirements.
  • Brand assets, sponsor requirements and moments that must appear.
  • Access arrangements, meal or break windows and interview availability.
  • Filming restrictions, permission arrangements and any embargoes.
  • The approved deliverables, delivery dates and feedback owner.

An executive assistant or events coordinator can own this packet without owning every decision in it. Have the marketing or executive sponsor approve the priorities, then make the packet the shared reference for the production and venue teams.

What changes the event videography quote?

Coverage hours, simultaneous rooms, crew roles, travel, dedicated interviews, graphics, session recordings and delivery speed all matter. An evening gala can require setup before guests arrive and work after the formal programme ends. Ask the estimate to distinguish the booked coverage window from the public event hours.

A same-day recap needs a separately planned edit workflow and a realistic approval window. If the film has no use until the following week, a rush finish may have less value than more complete coverage or a thoughtful longer edit.

Plan the handover before the event

Agree which film is the main deliverable and which clips, captions or alternate formats are included. For session recordings, confirm how talks will be split and named, whether presentation slides are included, and whether captions or graphics are needed. For social edits, define which messages should stand alone.

Check the review process against speaker availability and your communications calendar. Also agree how footage will be retained and whether future event promotion is covered by the permissions and usage arrangements. Next year’s team should be able to tell what material exists and how it may be used.

Quick answers

What is an event recap video?

An event recap is an edited highlight film that communicates the experience and key moments of an event. It can support attendee communication, sponsor use or future promotion. It differs from full session recordings, which preserve the talks, and a same-day edit, which adds delivery during the event.

How many cameras does a conference or gala need?

It depends on simultaneous activity and the deliverables. Stage-and-audience coverage in one room can use complementary cameras, while concurrent sessions, interviews and complete talk recordings may need additional coverage. Map the running order before deciding the crew.

What should I send an event videographer?

Send the run of show, venue and access details, room layouts, AV contact, speaker names, brand assets, filming restrictions, must-have moments, delivery requirements and the named person who approves the work.
